Job Description
We are seeking a proactive and motivated Program Assistant to join our team. As a Program Assistant, you will help drive our shared ownership and climate initiatives through a combination of project coordination, administrative tasks, and event support.
Key Responsibilities:
Program Support and Coordination
Collaborate with team members to ensure smooth operations of various programs
Assist in the planning, execution, and follow-up for both in-person and virtual events
Manage logistics for in-person events (hotel bookings, meeting space, materials, catering)
Coordinate virtual event logistics, including Zoom set-up and managing online platforms
Work closely with participants, staff, vendors, and consultants to ensure alignment on schedules and deliverables
Prepare, assemble, and distribute program materials, ensuring they align with organizational branding guidelines
Draft and edit communication materials, including web content, emails, memos, and presentations
Maintain and organize program documents to ensure easy access and proper storage
Administrative Support
Take comprehensive notes during meetings and track important discussions and decisions
Collaborate with the Finance & Operations team to manage invoices, reimbursements, and contracts
Coordinate with various departments to ensure Salesforce data is kept up to date
Provide technical support for tools such as Zoom, SharePoint, and shared calendars to ensure smooth collaboration during meetings and events
Additional Responsibilities
Contribute to building an organizational culture based on respect, learning, and equity
Support special projects as needed and adapt to changing priorities with flexibility
What You'll Need:
A bachelor's degree and at least two years of relevant work experience, or four years of relevant work experience if not holding a degree
Experience in project management, communications, and event planning
A strong interest in community development, urban planning, climate justice, or related fields
Strong problem-solving skills and the ability to take initiative
Excellent interpersonal skills and cultural competency, with a sensitivity to diverse perspectives
A flexible, adaptable approach with great attention to detail and the ability to manage competing priorities
An openness to learning and feedback for continuous personal and organizational growth
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint, OneDrive), Zoom, Salesforce, Slack, and other tech platforms
